COLLABORATION OPPORTUNITY

EVENT COORDINATOR **FREELANCE / CONTRACT BASIS**

JOIN EVENEMENCIEL AND HELP DELIVER UNIQUE EVENT EXPERIENCES
 

EvenemenCiel is a boutique event agency specializing in the design and production of custom-made events. We create elegant, human-centered and memorable experiences, driven by creativity, rigor and attention to detail.

As part of our growth, we are looking for a freelance Event Coordinator to support the production and on-site coordination of our projects, working closely with the Project Management team and internal collaborators.

 

KEY RESPONSIBILITIES

Project Coordination

  • Support the planning and organization of events from pre-production through execution

  • Track timelines, task lists and deliverables

Logistics & Vendors

  • Coordinate suppliers, service providers and on-site teams

  • Follow up on confirmations, technical needs, schedules and installations

On-Site Execution

  • Be present on-site during events

  • Oversee setup, event flow and dismantling

  • Manage on-site challenges calmly and efficiently

Client & Partner Relations

  • Maintain professional communication with clients and partners

  • Support the overall client experience before, during and after events

Administrative Support

  • Update and maintain production documents (run of show, schedules, checklists, briefs)

  • Work closely with the Project Manager / Project Director

 

PROFILE WE ARE LOOKING FOR

  • 3 to 5 years of event coordination experience in Quebec (corporate events, galas, conferences, fundraisers, private events, etc.)

  • Strong on-site experience and solid understanding of operational realities

  • Bilingual French / English (spoken and written)

  • Education or relevant experience in event management, communications or a related field

  • Excellent organizational skills and ability to manage multiple priorities

  • Strong sense of service, professionalism and teamwork

  • Ability to perform under pressure and meet tight deadlines

  • Comfortable with digital tools (Office 365, Google Drive; Canva is an asset)

  • Valid driver’s license is an asset, depending on mandates
